JOB DESCRIPTION

Job Title: Office Manager/Personal Assistant to - Chief Executive (PAOM10)

Responsible to:        Chief Executive Officer

Hours: 9.30am to 3.30pm Monday - Friday (30 hours per week)
Occasional evening meetings
Salary: £24,960 - depending on experience
Holidays: 31 days including Bank Holidays
Location: Larches House, 1 Rectory Lane, Edgware, Middlesex HA8 7LF

ROLE

The aim of this role is to liberate the Chief Executive to pursue The Larches Trust’s ambitious and exciting future plans.  There is the opportunity for the successful applicant to expand the role on his/her own initiative and to make this position a very exciting career move. 

The Larches Trust is a registered charity established in 1995 by a group of families to provide opportunities to their learning disabled family members.

 

RESPONSIBILITIES

    1. Office Manager

All Administrative functions including:

  1. Human Resources – Recruitment, job descriptions, interviews, references, policies and procedures

  2. Recruiting and managing volunteers – including supervising mail-outs

  3. Management of Co-workers (Office Management)

  4. IT – to ensure best use is made of IT

  5. Facilities Management – ensuring efficient running of the office at all levels.

  6. Quality Assurance 

  7. Health and Safety issues ie Risk Assessment/Monitoring

  8. Develop annual budgets, and manage within them.  Review monthly actual vs budget with Chief Executive

  9. Financial Clerical Controls – Outgoing Invoices and managing controls, petty cash

  10. Event and Fundraising Administration

  11. To plan, develop, implement and evaluate systems and structure for The Larches Trust, including day opportunities, supported living and leisure and recreation programmes.

The Office Manager will not personally undertake all these tasks, rather he/she will have responsibility for ensuring their smooth operation

  1. Minute taking, actioning and follow-up

  2. Induction administration

1.4            Flexibility

In order to deliver services effectively, a degree of flexibility is needed and the post holder may be required to perform work not specifically referred to above. Such duties, however, will fall within the scope of the post, at the appropriate grade.

PERSON SPECIFICATION

 Office Manager/Personal Assistant to - Chief Executive

This is a new position, so the successful applicant will be have the exciting opportunity of setting up, developing and running the complete administration of The Larches Trust.

Currently the Chief Executive, supported by a long-standing volunteer and part time member of staff, is attempting to do this on her own, so your personal support of, and relationship with, the Chief Executive will be one of the most crucial elements to the effective running of the organisation.  The Chief Executive has very high expectations and so you will need the maturity to ‘manage upwards’, identify her needs, as well as your own, and prioritise the workload.   It is essential that you are able to manage your own time as well as manage the Chief Executive’s time.

All the elements of administration will come under your management, so you must be able to negotiate with others and ensure you are getting the best service and to be resourceful in demanding situations.

Confidentiality and discretion is absolutely essential at all times. It is expected that you will develop a strong sense of loyalty to The Larches Trust and contribute towards its expansion and success.  There is therefore the potential for this role to grow and develop alongside The Larches Trust.
